Leadership meeting minutes from recordings
Record your leadership meetings, get a transcript, and have an AI assistant draft the minutes. A person reviews and approves them before they're shared.
The problem
Someone always ends up taking notes instead of joining the conversation, and the minutes come out late, thin, or not at all.
What it does
We record all of our leadership meetings to get a transcript, then have AI turn the transcript into minutes: what we discussed, what we decided, and who's doing what next. Nobody has to sit in the corner typing, and everyone gets to be in the meeting. A person reads the draft and approves it before it goes anywhere.
How it's gone
We've been really impressed. It captures things extremely well, summarizes long conversations, and gets to the point better than our minutes did before.
Setup
- Pick a recording tool that gives you a transcript, and test it in your meeting room.
- Tell everyone at the start that the meeting is being recorded, and why.
- After the meeting, give the transcript to the assistant with a simple minutes template: attendees, discussion, decisions, and action items with owners.
- Ask it to leave out side conversations and flag anything it isn't sure about.
- Have the person responsible for minutes review, correct, and approve the draft before it's shared.
Guardrails
- Everyone knows the meeting is recorded and agrees to it before you start.
- A person reviews and approves the minutes before they're shared. The assistant only drafts.
- Sensitive pastoral or personnel matters stay out of the minutes or get redacted. When in doubt, leave it out.
- Decide ahead of time how long recordings and transcripts are kept, and delete them on that schedule.
Time saved
We're still tracking this honestly, so there's no number here yet.
Questions pastors ask
- Does everyone know they're being recorded?
- Yes, and they should. We say so at the start of every meeting. If someone isn't comfortable, don't record.
- Who approves the minutes?
- A person on our leadership team reviews and approves the draft before it's shared. The assistant never sends minutes on its own.
- What about confidential topics?
- Pastoral care and personnel matters stay out of the minutes or get redacted. Some churches pause the recording for those conversations.
- Do you keep the recordings?
- Decide that up front. Keep recordings only as long as you need them to finish the minutes, then follow your own retention rule.
